What to do when your systems compromise your service

As you know, I’m a huge fan of using systems in your business to make it run more efficiently. However, as I recently experienced, sometimes systems can get in the way of service.

It’s important to always keep the customer in mind when you’re designing your systems. Otherwise, they’ll get lost in the shuffle. This often happens if you’re designing system with blinders on. That means you go through the steps but never really test the process with the end user.

In this video I’ll show you why this often-missed step is so important and what happened to me when it got missed.

The must-have system in your business

If you only have one system in your business, this one is it!

Your signature system is your proprietary, step-by-step process that you take your clients through to get them from their current state to their desired state. It’s how you solve their problems and relieve their pain-points.

It is the most important system you have in your business. Consider it the powerhouse among all of your systems. What makes it unique is that it has two faces. One face is directed at your client, showing them exactly how you work, which builds confidence and trust. The other face is directed at your team, showing them the steps involved for working with clients, which builds consistency and efficiency.

Your signature system may currently reside in your head. If you were to tell me that you intuitively know each step of your process, I would say to you, it’s time for a data download. If your signature system stays in your head, three things will happen:

  1. Delegating will be painful or impossible.
  2. You will be the bottleneck in your business.
  3. Your business will plateau.

None of these are scenarios that I want for you. Watch this video where I take you through three simple steps to design your signature system.

Why you need to step away from your business

I’ll bet your business is keeping you very busy. It seems when I ask: “How are things?” everyone responds with, Busy.

Busy with the business.
Busy with the kids.
Busy just living.

To be honest with you, I do this too.

Busyness leaves you spinning, exhausted and burnt out. 

The challenge of being in a constant state of busyness is you are operating in reactive mode. You are caught in the weeds with no capacity to see beyond.  Being strategic, creative and innovative get kicked to the curb.

Is this your new normal?

I was wrapping up a project with a client. We had spent 6 months getting business processes up and running, tech tools set up to automate the routine stuff, and a support team in place to whom she could delegate.

Her business was rocking, rolling and ready to scale.

She told me how she now felt free, relaxed and well rested in her business. This scenario had become her new normal, and she told me how great it felt. It was how she had always imagined things would be for her and for her business.

This is when I thought of you.

How to stop doing everything in your business

“If I want something done right, I’ll do it myself.”

These words may have become the mantra for running your business, and may have become your belief system.

You want things done your way and you believe it will take you longer to tell someone how to do it than if you just did it yourself.

And that’s how your DIY business is created.

The reality is this … doing everything yourself is impossible, impractical and it’s no fun AT ALL. More importantly, it isn’t sustainable for you or your business.

 
Watch how you can change the DIY mantra that may be replaying in your head that leads you to do things you really don’t like doing in your business (and likely aren’t that good at doing!)  
 

Your challenge this week is to be aware of when the DIY mantra starts playing in your head, and to change how you respond.

At first, it may take you more time to train someone how to do things, or to write out a step-by-step system for getting it done. Remind yourself that this is time well invested in you, your team and your business.

Why it’s okay to have a messy business

Has your business ever felt so messy you wanted to hide from it? Literally. The shut the laptop and run for cover kind of hiding.

You are not alone. I’ve been there, my clients have been there and practically every business owner I’ve meet has been there.

Face it, business can get messy, even at the best of times. Actually, especially at the best of times because that’s when your business is so busy, you can’t get to the back-end operational details that keep things running smoothly.

The truth is, things have to get messy before they can get organized. Messy is a rite of passage to a better way of operating.

It should feel somewhat uncomfortable and bumpy along the road. That is totally okay and to be expected.

How to prepare your business for the climb

Does your business sometimes feel like an uphill climb? Similar to riding your bike in the wrong gear? That’s what I experienced the other day while I was out on a bike ride. I was on some pretty steep hills and I thought of you and how hard running your business can be.

This is what I know for sure:

If you don’t prepare for the growth that has come, then the busy times will feel like going up a hill in the hardest gear.

You’ll feel like you’re pedaling as fast as you can, but you don’t seem to be getting the traction or speed you need to support that rapid growth.

The reason I ask is because this came up recently when I was working with a client to design and systematize her client onboarding process. She asked me a very interesting question, which I’ll share with you in this video.

The way you make your clients feel is so important to running your business. 

Your new clients want confirmation they have made the right choice in selecting you to help solve their problem. Your Client Onboarding process does just that.

It’s an important part of the client experience with you, your company and your brand. It’s your way of greeting new clients, showing them around and making them feel comfortable in your business.

My secret to creating an Operations Playbook

When you think of having standard operating procedures in your business, do you think of a dusty binder sitting on a shelf that nobody looks at? Or perhaps you know it’s something your business needs, but have no idea how to start, so you procrastinate and continue to keep all the operational details stuck in your head.
